This notice explains how Pro Refrigeration Inc. collects and uses information within this internal operations platform. This platform is for authorized employees only and is not open to the public.
We collect login information such as username/email and password for authentication. Passwords are stored as hashes, not plain text. We also collect employee and technician names, job numbers, customer names, job notes, parts and inventory records, vehicle and equipment data, and questions submitted through the AI assistant.
All data is used solely for internal business operations — job tracking, parts management, truck inventory, and service coordination. Login information is used to authenticate users and maintain account security.
Data is stored in a PostgreSQL database hosted on Railway. The application itself also runs on Railway. No data is shared with outside parties except as described below.
When you use the AI assistant, your question and a summary of current job and parts data are sent to Anthropic to generate a response. Anthropic's data handling is governed by their own privacy policy. Do not enter sensitive personal information into the AI chat.
Access is limited to authorized Pro Refrigeration employees with valid credentials. Technicians can only view their own truck and assigned job information. Admins have full access for business management purposes.
To request access to, correction of, or deletion of your information, contact a Pro Refrigeration administrator. Requests are handled subject to applicable business recordkeeping requirements.
